OurHOA exists to help communities run themselves, and that only works if boards and residents can trust us with their records. This page explains, in plain English, what we collect and what we do with it.
What we collect
When you create an account we collect your name, email address, and the community you belong to. As your community uses OurHOA, we store the information your board and residents put into the product: member rosters, dues and payment records, announcements, documents, requests, and similar community records. We also collect basic usage analytics (pages visited, features used) to improve the product.
How we use it
We use your information to run the service: showing your community its own data, sending the emails your board asks us to send (announcements, payment receipts, reminders), processing payments, and keeping your account secure. We do not sell your personal information, and we do not use your community's private records for advertising.
Who we share it with
We share data only with the service providers we need to operate: payment processing (Stripe), database and file hosting (Supabase), email delivery, and web analytics. Each provider receives only what it needs to do its job. We may also disclose information when the law requires it.
Your community's data belongs to the community
Boards can export their community's records at any time. If your community leaves OurHOA, you can take your data with you, and we will delete it on request. Residents can ask their board or us to correct or remove their personal information.
Security and retention
Data is encrypted in transit and at rest, and access within each community is controlled by role (residents cannot see board-only records). We retain data for as long as your account is active and for a reasonable period afterwards for backups and legal obligations.
Cookies and analytics
We use cookies to keep you signed in and privacy-respecting analytics to understand how the product is used. We do not run third-party advertising trackers.
