How do you run a good HOA board meeting?

Give proper notice

Most states require advance notice of board meetings with an agenda (often a few days; California is 4 days, Texas 72 hours). Posting it the same way every time keeps you compliant and keeps residents from feeling blindsided.

Work from an agenda

A clear agenda keeps meetings short and on-topic, and in many states the board can only act on items that were noticed. Send it out ahead of time so residents know what's coming and the board stays focused.

Confirm a quorum and record decisions

Check that enough directors are present to vote (your bylaws define the quorum), then capture decisions in minutes - what was decided, not a transcript. Many states require minutes to be available to members within a set window after the meeting.
